Digital Twin: The Smart Form Filling Mode

The Digital Twin transforms your scanned paper form into a clean, structured form with proper fields, sections, validation, and auto-save. It's the third filling mode alongside Visual and Chat modes.


Three Ways to Fill a Form

All three modes share the same data. You can switch freely between modes without losing any entered values.


How to Access

  1. Open any form instance
  2. Expand the Fill Instance card
  3. Click Fill with Digital Form

Once inside, use the toolbar icons to switch between Visual, Chat, and Digital modes at any time.


Smart Field Types

The Digital Twin automatically detects field types from your form structure. Fields named "Date of Birth" become date fields, "Email" becomes an email field, and so on.

Table Sections

Forms with tabular data are displayed as interactive tables with editable cells. Column headers are shown and each cell is a fillable field.

Automatic Calculations

Tables can have rows that automatically calculate column totals (sum, average). As you fill in cell values, the totals update in real time.


Auto-Save

Every change is automatically saved after a brief pause (less than one second). Watch the status indicator at the top:

  • Saving... — your change is being saved
  • All changes saved — everything is saved

No save button needed. You can close the browser and come back — your data is safe.


Validation

The Digital Twin supports validation rules on each field:

  • Required: Field cannot be left empty
  • Format: Value must match a specific format (e.g., email address)
  • Min/Max length: Text length limits
  • Min/Max value: Numeric range limits

Validation errors appear in real time as you fill fields. The form cannot be submitted until all errors are resolved.


Conditional Fields

Fields can be configured to show or hide based on other field values. For example, a "Phone Number" field can be hidden until a "Name" field is filled. Conditions are applied in real time as you type.


AI Fill

When AI Fill is available, the Digital Twin offers two AI-powered fill modes:

Text Mode

  1. Click the AI Fill button in the toolbar
  2. Describe the data in natural language (e.g., "The patient is Maria Silva, born 1985-03-15, email [email protected]")
  3. Click Fill with AI
  4. The AI extracts values and fills matching fields automatically

Image Mode

  1. Open the AI Fill panel and switch to the Upload Image tab
  2. Upload a photo of a filled form
  3. Click Extract & Fill
  4. The image is read automatically, then the AI maps the extracted text to your form fields

AI Fill works alongside manual entry. It fills what it can confidently extract — you can review and correct any values afterward. If AI Fill is not available, these features are simply hidden (they never block normal operation).


Submitting the Form

  1. Fill all required fields
  2. Click Submit Form
  3. The form is signed and becomes read-only
  4. You're redirected to the instance page

After submission, you can still view the Digital Twin in read-only mode with all values visible but not editable.


Digital Twin Editor (Publishers)

Template publishers can customize the Digital Twin layout before sharing the template. Access the editor from the template page by clicking the Digital Twin Editor button.

What You Can Do

  • Reorder sections and fields — drag or use arrow buttons
  • Change field types — override auto-detected types (e.g., text → date)
  • Configure validation — set required, format, min/max per field
  • Set conditions — show/hide fields based on other field values
  • Connect Value Sets — link fields to shared reference lists for autocomplete (see Value Sets)
  • AI Suggest — let the AI recommend field types, validation rules, and Value Set connections for all fields at once

AI Suggest

Click the AI Suggest button in the editor toolbar. The AI analyzes all field names and suggests optimal types, validation rules, and Value Set connections. Suggestions appear as small chips on each field — click Accept to apply or Dismiss to ignore.


Tips

  • Switch modes freely. Your data is always preserved when switching between Visual, Chat, and Digital modes.
  • Use AI Fill for batch entry. Describe multiple values in one sentence and let the AI distribute them across fields.
  • Customize in the editor first. Publishers should set up field types and validation in the editor before sharing — subscribers get a better experience.
  • Tables support automatic calculations. If you need column totals, ask your publisher to enable them in the editor.
